VividCon Vid Delivery Instructions
We are now accepting vid uploads! The deadline for Club Vivid vids has
been stretched through May 9th, Eastern US time, but due to the delays on our end, this is a
semi-flexible date. Your vids should already be completed, but if you will not be able to upload by
early next week (May 10th-11th), please contact vvctech@gmail.com
to discuss things.
By submitting your premiering vid(s), you are giving permission to have them included on the con DVD collection. If you do not want your vid to be on the DVD (subject to available room), it should not be submitted as a premiere to any vidshow.
Deadlines:
All Club Vivid vids must be received by 11:59 pm, Sunday, May 9th (or as soon as possible).
All themed show and Nearly New vids must be received by 11:59 pm June 1.
All Premieres, non-attending Premieres, Auction, and Challenge vids must be
received by 11:59 pm, Friday, June 25.

MPEG-2 Instructions
We ask that all Windows vidders please use the Llamaenc program we provide for encoding your video. We have found that we have far fewer problems with vids encoded this way,
and it's easier both for us and for you!
Preparing Vids for Upload
- Please do not include extra black space at the beginning or end of your vid. Llamaenc will put this in for you. Trim the vid as close to the beginning and end as you can.
- Accepted formats:
- MPEG-2 video file plus a separate audio file - we strongly prefer this format. In fact, we prefer this format so much that we made a windows program called LlamaEnc for encoding your video into this format, and we ask that all Windows users encode their vids using this program. - At a stretch we can accept DIVX files. We no longer accept Quicktime .mov files. If this is a problem, please contact vvctech@gmail.com.
- Specs for accepted formats:
- MPEG-2 video file: MPEG-2 video, 720x480 resolution, NTSC format, encoded at 5500-6500 kpbs bitrate*, with an "m2v" suffix. *IMPORTANT: Do NOT encode your vid at a higher bitrate. If you do, you increase the filesize without noticably improving video quality and increase the likelihood of jerky playback. Vids at higher bitrates may be left off the con DVD if space is an issue. We withhold the right to re-encode your video if size or format is a problem.
- Audio file: WAV or AIFF format (48 kHz). Please do NOT use AC-3 or mp3.
- DIVX file: 29.97 frames per second, 720x480 resolution, high bitrate.
- Naming your files
For all files, please use the submitting vidder's name, NOT the name of the vidding group or collaboration.
- For the attending members Premieres show, please name the files as follows:
vidpriority_yourname_vidtitle.{wav,m2v} (Delete any spaces, apostrophes, special characters, etc.)
Example: the video track for the first-priority vid submitted by vidder Super-Amazing Vidder!! to the song I'm A Little Teapot would be named:
1_superamazingvidder_imalittleteapot.m2v
- For the Non-attending Premieres show, name the files as follows:
nap_vidpriority_yourname_vidtitle.{wav,m2v} (Delete any spaces, apostrophes, special characters, etc.)
Example: nap_1_superamazingvidder_luckbealady.m2v
- For the Nearly New show, name the files as follows:
nn_vidpriority_yourname_vidtitle.{wav,m2v} (Delete any spaces, apostrophes, special characters, etc.)
Example: nn_1_superamazingvidder_luckbealady.m2v
- For the Auction show, name the files as follows:
auction_yourname_vidtitle.{wav,m2v} (Delete any spaces, apostrophes, special characters, etc.)
Example: auction_superamazingvidder_route66.m2v
- For the Challenge show, omit your name, and name the files as follows:
challenge_vidtitle.{wav,m2v} (Delete any spaces, apostrophes, special characters, etc.)
Example: challenge_route66.m2v
- For all other vidshows, including Club Vivid: please include an abbreviation that indicates which show the vid is being submitted to, and name the files as follows:
vidshow_yourname_vidtitle.{wav,m2v} (Delete any spaces, apostrophes, special characters, etc.)
Example: vidhist_superamazingvidder_edmundfitzgerald.m2v
When your files are ready, fill out the vid submission form for each file.

- After you have filled out the form, you are ready to upload your files.
There are multiple ways to do this. While we strongly prefer you use our server space,
we understand that this is not always workable. Whichever method you use, please email vvctech@gmail.com with the subject "VividCon vid uploaded" and the names, sizes, and locations of the files.
- You will need an sFTP client to upload vid sFTP. Here are some suggestions:
- To connect via sFTP, use the following details:
host name/address: ftp.vividcon.com
login/username/ID: vvca
password: vvcupload
port: 22
transfer type: with sFTP, all files are transferred in binary mode.
Note: You will receive permissions errors when connecting to this account but they will not affect
your ability to upload files. Once connected, you will see some folders and files, but you will not have permission
to do anything but upload to the uploads file.
(We've disabled read access on this account to keep secret any files that others are uploading at
the same time.)
- Once you are logged in: Make sure you are using the BINARY setting on your client. Double-check this before you start -- there's nothing like slowly uploading a 200 MB file and then discovering that you did it in ASCII format and have to
redo the whole thing.
- Upload your vid files by dragging and dropping them onto the uploads folder. When they're done,
please email vvctech@gmail.com with the subject "VividCon vid uploaded", letting us know you used sFTP and including the specific names and sizes of the files you've put up.
The second way to upload files is with regular FTP (we previously had significant disconnection problems with
this protocol, but we hope this is fixed).
You can use FTP client you like (Fetch/Cyberduck/Filezilla on Mac, WS_FTP LE/SmartFTP v3/Filezilla on PC are good)
- To connect via FTP, use the following details:
host name/address: ftp.vividcon.com
login/username/ID: anonymous
password: your e-mail address
port: 21
transfer type: binary
- Once you are logged in: You will see various folders on the remote server; just ignore them and upload to
the main folder. Make sure you are using the BINARY setting on your client. Double-check this
before you start -- there's nothing like slowly uploading a 200 MB file and then discovering that you did it in ASCII format and have to
redo the whole thing.
- When your files are uploaded, please email vvctech@gmail.com with the subject "VividCon vid uploaded", letting us know you used anonymous FTP and including the specific names and sizes of the files you've put up.
- You will not be able to see the vid files once they have uploaded. Don't worry, that doesn't mean they're not there.
- If you make a mistake (like uploading on ASCII setting), you will not be able to delete or upload over the first file. If this happens, please just rename your file slightly (for example, you could add "_good" to the end, etc), upload the renamed version, and then explain in your e-mail which is the right file.
If for some reason you are unable to upload to our server, there are three alternate methods.
- You can upload to your own server space, then email vvctech@gmail.com with the subject "VividCon vid uploaded" and the specific name, size, and location of the files you've put up.
- You can use an online service such as Megaupload or Sendpace, then email vvctech@gmail.com with the subject "VividCon vid uploaded" and the specific name, size, and location of the files you've put up.

- You can use Dropbox. Dropbox allows you to
directly share files with another person simply by dropping the files into a folder on
your own computer that you've "shared" with that person, and is available for Windows, Mac, and Linux.
The instructions below work for Windows/Mac.If you already have Dropbox or
are willing to install it, you can then "share" a folder with vividcon@vividcon.com and
we will grab the files and move them to our space. We will not be able to access
any files on your computer that you have not put into the shared folder.
Dropbox installation is quick and easy, and results in a folder on your computer titled "My Dropbox" or
"Dropbox" (or something similar) .
- Create a folder inside "My Dropbox/Dropbox" using your vidding name as the name of the folder. That is, if you're
submitting your vids under the name SuperAmazingVidder, then this will be the name of your folder.
- There are two ways to share this folder with us (Dropbox help with sharing is here.:
- Right-click on the SuperAmazingVidder folder, choose "Dropbox", then choose "Share this Folder". This will bring up
a webpage with two text boxes:
- In the first box, type "vividcon@vividcon.com".
- In the second box, type "VividCon vid uploaded" and include the names and sizes of the files you've shared (and
any other information you want to include, of course).
- Login on dropbox.com, go to the "Sharing" tab, and click on "Share a folder". Select "I'd like to share an
existing folder", then choose the folder you want to share. This will bring you to the page with two text boxes:
- In the first box, type "vividcon@vividcon.com".
- In the second box, type "VividCon vid uploaded" and include the names and sizes of the files you've shared.
Dropbox will notify us that we've been invited to share your folder. Once we accept, we'll be able to access and move
your files (so they won't be utilizing our Dropbox filespace limit); this will remove the files from the shared folder
on your computer, as well.
Once the files have been removed, feel free to delete the shared folder, or you can leave it, if you'll be sharing more
files with us this year. After all deadlines have passed, we will remove ourselves from all VVC-related shared folders.
